Privacy Policy

Where this policy applies

Caring Advocates serves people in both the United States and Canada. This policy applies to U.S. federal and state law (including California's CCPA / CPRA), and to Canada's federal Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec's Act respecting the protection of personal information in the private sector (Act 25). Sections below name rights specific to each jurisdiction.

What this site collects

We aim to collect as little information as possible. Caring Advocates uses Cloudflare Web Analytics, which is cookieless and does not use device fingerprinting. It records aggregate, anonymized statistics (such as country-level traffic and page-view counts) but does not track individual visitors across sessions.

Voice recordings (MyVoiceLivingWill™)

If you choose to record your wishes via MyVoiceLivingWill™, your recording is your own data. By default, we do not store voice files on this website. Any recordings you create are saved to your own device or to storage options you select during the Strategic Advance Care Planning process.

At your explicit request, Caring Advocates may store a copy of your video or audio recording on our site so it travels with the rest of your Strategic Advance Care Planning package. Today this intake is email-based — send your recording to DrTerman@CaringAdvocates.org and we will file it with your record. If you would prefer your recording stored elsewhere, we can recommend alternative registries such as MedioHealth.com. Some states run their own registries.

When you share a recording with Caring Advocates, it is treated as confidential medical-planning correspondence. Email is not a HIPAA-secured channel; Caring Advocates is a 501(c)(3) educational nonprofit, not a HIPAA-covered entity, and we exchange documents with you over standard email and SMS so you can review and respond using the tools you already use. AI-generated voice content (ElevenLabs)

Caring Advocates uses ElevenLabs to synthesize voice readings of educational material (for example, the 22-slide Free Trial walkthrough and other published guidance). All voices rendered through this pipeline are of adults age 18 or older, and we do not generate voices that imitate any real person without their written consent. This policy follows the ElevenLabs Prohibited Use Policy and applies to every AI-generated voice clip Caring Advocates ships.

Forms, email, and SMS

If you contact Caring Advocates by email, text message, or phone, we use the contents of that conversation only to respond to you and to coordinate care planning. We do not sell, rent, or share your contact information with third parties.

Free Trial sign-up form

The Free Trial sign-up form collects your first name, last name, email address, birth date, country and state/province, and (optionally) phone number, along with your confirmation that you have read this privacy notice. We use this information to send you the Free Trial materials and your personalized 9-item Natural Dying Living Will, and to follow up if you engage additional services.

For abuse prevention and security only, the sign-up endpoint also records the broad browser-family of your User-Agent (e.g. "chrome", "safari") and the website origin the request came from. We do not record the full User-Agent string, your IP address, or any other fingerprinting metadata. These two fields are not used for marketing, not shared with third parties, and are deletable on the same request channel as the rest of your sign-up record.

We retain Free Trial sign-up records only as long as needed to fulfill your request and follow up. You may request deletion at any time by emailing DrTerman@CaringAdvocates.org with the subject line "Delete my Free Trial record" — we will delete your record on request and confirm within a reasonable timeframe.

Sign-up form data is stored on Cloudflare's edge infrastructure within Caring Advocates' own account. It is not shared with third parties and is not used for advertising or profiling.

Newsletter / outreach updates

If you tick the "Also send me Caring Advocates updates" box on either the Free Trial form or the webinar registration form, we record your email address and (if provided) your first name in a separate newsletter_subscriptions table on Cloudflare D1 in Caring Advocates' account. We also record the channel you came in through (Free Trial form, webinar, or future channels) and the version of the consent copy you saw, so we can honour the exact promise we made when you opted in.

Your privacy is sacred to us. We never sell, share, or rent newsletter data to anyone. We use it only to send you Caring Advocates updates when there is something genuinely worth your time.

You can step back at any time. Three signals trigger a step-back: (1) you click the "Unsubscribe" link in any email we send, (2) the email bounces permanently (the address is no longer reachable), or (3) you mark our email as spam in your mail client. In any of those cases we suppress all future sends to that address immediately.

We keep the timestamp and reason of every step-back rather than deleting the row. The audit trail is how we can demonstrate, to you or to a regulator, that we honoured your choice — and it lets us correctly handle a re-subscribe later if you ever change your mind. We never use the audit trail for any other purpose.

Confirmation and unsubscribe emails are sent through Resend (transit-only relay; Resend retains a short log of delivery status but not message content). Unsubscribe links use a random opaque token in the URL — the token is not derived from your email or any other personal information, and the unsubscribe page never echoes your email or name back. Quebec residents see the Act 25 disclosures for additional rights.

Webinar registration

When you register for a Caring Advocates webinar, we collect your first name, last name, email address, country and state/province, and (optionally) organization or affiliation and how you heard about the webinar, along with your confirmation that you have read this privacy notice. We use this information to send you a registration confirmation, the calendar invite (.ics) for the event, and the join link before the event begins.

Webinar registration records are stored on Cloudflare D1 in Caring Advocates' account in the same way as the Free Trial sign-up data described above. Records are retained so we can contact registrants about future Caring Advocates events; you may request deletion at any time by emailing DrTerman@CaringAdvocates.org with the subject line "Delete my webinar record." Confirmation and reminder emails are sent through Resend (transit-only relay; Resend retains a short log of delivery status but not message content).

Cookies

This site does not use tracking cookies. Cloudflare may set strictly necessary cookies to provide infrastructure services such as DDoS protection. No advertising or third-party analytics cookies are placed.

California residents (CCPA / CPRA)

California residents have the right to know what personal information we collect about them, to request deletion, and to opt out of any "sale" of personal information. We do not sell personal information. To make a request, email DrTerman@CaringAdvocates.org with the subject line "California Privacy Request."

Canadian residents (PIPEDA / Quebec Act 25)

Caring Advocates is a U.S. nonprofit, but the "MAiD or Natural Dying" My Way Cards version is designed to help residents of Canada — including Quebec under Bill 11 — to document an Advance MAiD Request. If you are a Canadian resident and provide personal information to us through the sign-up form or email correspondence, we treat it under the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), and, for Quebec residents, Quebec's Act respecting the protection of personal information in the private sector (Act 25). You have the right to access the information we hold about you, to request correction, and to request deletion. To exercise these rights, email DrTerman@CaringAdvocates.org with the subject line "Canadian Privacy Request."

Caring Advocates is engaging legal counsel to formalize a Canadian Data Protection Officer designation and to publish a Privacy Impact Assessment before any clinician-mediated patient data flows through this platform. The current site collects only marketing-funnel information (Free Trial sign-ups), not protected health information.

Health information

This website is informational and does not provide medical care, nor does it operate as a HIPAA-covered entity. Information you share with Caring Advocates outside of a clinical relationship is not protected health information under HIPAA, but we treat it with care nonetheless. Always consult your physician for medical decisions.

Third-party links and tools

Some pages link to external resources (academic publications, video hosts such as YouTube, hosted PDF references). Once you leave caringadvocates.org, you are subject to the privacy practices of the destination site.

Changes to this policy

We may update this policy as our services evolve or as legal requirements change. Material changes will be highlighted on the home page and dated above.
